The Mater Hospital Foundation Fundraising Terms & Conditions
There are rules surrounding the use of the Mater Hospital Foundation as a name and as a logo, which are as follows:
1. As a third-party fundraiser, the name of your event should not have the Mater Hospital Foundation in the title. The Mater Hospital Foundation is the beneficiary of the event, rather than the organiser. For example, please name your event as “<Title of Event> in aid of The Mater Hospital Foundation” or state that “All proceeds to go to the Mater Hospital Foundation.”
2. You must gain prior written approval from the Mater Hospital Foundation for any printed materials, online materials, media publications or advertisements associated with the event. Approval should be sought from the Mater Hospital Foundation in relation to your event. Drafts of all proposed printed or digital assets that contain the Mater Hospital Foundation logo must be shared in advance with the team to confirm compliance with our brand guidelines.
3. You must contact the Mater Hospital Foundation Office to obtain the correct logo (if needed). Prior written sign off on all material where the logo is used must be sought from the Mater Hospital Foundation. Please note that a copy of the logo from other sources must never be used.
1. In your own interest and to adhere to our auditors’ requirements, it is required that a minimum of two unrelated adults be present to count any proceeds from fundraising events.
2. All net proceeds from the event must be returned to the foundation within 30 days of the event taking place. You can lodge funds directly into our account (please contact us for details). Alternatively, you can send a cheque or postal order to the Mater Hospital Foundation.
1. The Mater Hospital Foundation insurance does not extend to your events – we suggest that prior to your event you must seek independent insurance advice. It is the responsibility of the organiser to seek independent advice regarding any insurances that may be required to hold the event.
2. An event which involves collecting money from the public i.e., collections, raffles etc. will require a permit from An Garda Síochána. All third-party fundraisers for the Mater Hospital Foundation are advised to apply for their own permit in their local area.
While running your event you may get access to personal data on sponsorship cards, on letters or emails to you, or from event participants. After the event is complete you should destroy any lists with personal data you have made yourself and return printed sponsorship cards to the Mater Hospital Foundation, where we will ensure they are processed and then destroyed securely.
Every fundraising event must be run in accordance with all applicable laws. It is the sole responsibility of the Event Organiser(s) to ensure that the event complies with all aspects of the law and with the requirements of the Mater Hospital Foundation as outlined here.
1. Approval to repeat an event must be requested from the Mater Hospital Foundation in writing prior to repeating it.
2. The Mater Hospital Foundation will assist with your event only by way of offering advice and guidance. The overall running of the event, including (without limitation) expenses, promotion, insurance, record-keeping, and management, is your responsibility.
3. Please contact your local Garda station for guidance on any legal permits that you may require for your event.
4. If you are holding a raffle where the sale of tickets is to the general public, outside of guests you may have at your event, you should contact your local Garda Station to obtain a permit.
5. Regarding door-to-door calls, you may only do so provided you know the resident and these calls are only conducted during daylight hours.
6. Regarding the sale of books, calendars, and other similar items on behalf of the Mater Hospital Foundation, ALL requests for same must have prior written approval from the Foundation.
7. The Mater Hospital Foundation cannot ensure provision of direct marketing and/or Publicity for your event.
8. You must advise the Mater Hospital Foundation of any changes to the details of your event provided on this form prior to the event taking place.
9. Where children are in attendance, you must always provide proper adult supervision in a safe and secure environment. You must also check that the child’s parents/guardians have given permission for their child to take part.
10. Please note that cheque presentations are by exception due to staffing constraints and can only be facilitated by agreement and with 30 days prior notice.
